Equipment Control

Provides Fixed Asset Accounting and Maintains a Profit and Loss Statement for Company-Owned Equipment.

Our Equipment module treats each unit as its own profit and loss center, providing fixed asset accounting and maintaining a profit and loss statement for company- owned equipment. The module allows you to charge your jobs for rental of company-owned equipment on an hourly basis. Each time an hour of equipment time is posted through hourly payroll, the rental cost is charged to the job and credited as "revenue" for that piece of equipment in the equipment sub-ledger. This "revenue" is collected to recover ownership, major repair and operating costs of equipment while allocating these costs to the job - and the specific item within the job - that utilized the equipment. The module also Reports the cost per hour of owning and operating each piece of equipment, plus totals, along with utilization and mechanical availability. It can compare estimated owning/operating costs with actual figures - over a month, a year, or over the lifetime of the equipment - and translate all costs into a unit cost. Owning and operating costs may also be Reported by two additional units of production, such as loads and miles.

  • Keeps record of machine age by the day.
  • Keeps track of all purchased, long-term leased and rental equipment.
  • Quickly accesses equipment cost detail, showing all charges and revenue booked against a piece of equipment.
  • Keeps track of the location and availability of all equipment.
  • Prints revenue and cost for each piece of equipment. Cost breakdowns are provided - by ownership, major repair, and running costs - in both dollars and in unit costs.
  • Generates a monthly depreciation Report which shows date of purchase, original cost, depreciation for the current month, depreciation to date, and book value of each piece of equipment.
  • Sets up an hourly equipment rental rate for ownership, major repairs, and running costs per company.
  • Multiple rental rates may be established for each piece of equipment.\Multiple rental types can be established, such as all-found or with operator.

"The equipment costing Reports allow me to see my equipment cost per working hour, or per load, or per mile. I can make intelligent repair/replace decisions with the data I'm collecting, and where my fleet includes similar equipment by different manufacturers, I can evaluate which manufacturer's equipment is the lowest cost per working hour."

Service Manager

Complete Analysis Of Equipment Maintenance Records.

The Service Manager module provides a method of analyzing major vehicle and component repair requirements, and a means of budgeting for future expenditures. With regularly scheduled vehicle servicing and a basic preventative maintenance program, vehicle and fleet operating costs are reduced, and mechanical performance/equipment availability are improved.

  • Know when to repair or replace.
  • Prints repair analysis work sheets prior to major repair expenditure, to ascertain if repairs will be cost-effective.
  • Records all repairs by date, and machine age in miles, kilometers, or hours and by component.
  • Prints repair analysis work sheets for budgeting purposes - by vehicle, for the next year, or for a specific number of miles, kilometers, or hours of use.
  • Analysis work sheet and repair history are used to justify major repair expenditures or equipment replacement.
  • Prints planned component replacement schedules.
  • Integrated to equipment control and hourly payroll modules, Accounts Payable and work order modules.

"Planned Component Replacement maximizes the availability of equipment by allowing us to replace components before there is a failure causing downtime. This is particularly important with our three shift round-the-clock operation."

Work Order

A Cost Effective Way for doing Business.

The Work Order module records a description of the repair work to be done and the estimated cost. The description of the actual work done and actual cost detail is captured by work order number. Use estimated versus actual costs to determine if it is more cost effective to have some types of repair done by outside shops.

  • Integrates with Equipment Control, Service Manager, Payroll, Accounts Payable, and Inventory Control modules.
  • Posts employee time, inventory usage, invoices and repair descriptions to both work orders and equipment simultaneously.
  • Prints work orders based on multiple selection criteria.
  • Schedules work orders in Microsoft Outlook Calendar.

"The Work Order system ties equipment costing and service manager together to give me the costs of a workorder as well as the descriptive information about what was done. Major repairs and service Reports can be entered easily at any time from any module."

Explorer Visual Maintenance Checklist

Explorer Visual Maintenance Checklist is a Guide for Visual Inspections

The key to good equipment management is preventive maintenance. The basis of preventive maintenance is visual inspection. Explorer Visual Maintenance Checklist is a guide for visual inspections.

When you see something wrong send a Problem Report to the equipment superintendent or master mechanic to schedule the action required.

Preventive maintenance is everyone's responsibility. Instead of using that mental checklist, make things easier with Explorer Visual Maintenance Checklist, to keep the equipment well maintained.
