Mobile Office

Provides your field service technicians with access to inventory, customers, purchase orders and the means for them to create invoices (and collect/apply payment), as well as instant messaging with the back office, all from a Mobile unit installed in the truck. A true mobile office solution.

Map Link / GPS

Map Link works in conjunction with your Shafers Dispatch Board and a GPS vehicle tracking system, providing a way to locate technicians and displaying calls by customer address on Google Maps. GPS tracking allows you to track and follow your trucks, monitor speeds, long stops, and use geo-fencing to track your technician's daily progress.

Integrated Accounting

Large, mid-sized and small businesses alike will benefit from Shafers Integrated Accounting Software. Our core modules include General Ledger, Accounts Receivable (including Customer Equipment), Accounts Payable, Payroll, Inventory, and Job Costing.

Sales and Marketing Module

Manage your marketing efforts effectively. The Sales and Marketing module helps you track your marketing campaigns and sales leads. Shafers' campaigns feature will allow you to market to all existing customers easily. New customer "source of call" and "referral" information is monitored by the system and may be accessed easily via our marketing reports option.

Sales leads are tracked through the entire sales cycle and management will always know how many working leads each salesperson has in their queue. The system even provides follow-up and monitoring features.

Service Work Generator

A complete module dedicated to organizing additional work found out in the field while on a service or maintenance call. This module is a valuable asset and can assist in increasing revenue, especially during the slower times of the year.

Purchase Orders

Issue a purchase order directly to the warehouse, job, dispatch or customer. Purchase Orders are automatically matched to vendor invoices, notifying the operator of any discrepancies between the ordering cost and the billing cost on the vendor invoice. When items are purchased on a PO and not used, they can be returned. A tracking log will show the status (i.e. on truck, sent to vendor, received by vendor, etc.).

Payroll

Store employee records, accurately calculate city, state, and federal taxes, print payroll checks and gather reliable reporting information. The payroll module design can accommodate companies who wish to run simplistic payrolls, as well as those requiring more advanced features such as time card import from billing and detailed labor costing. Shafers Payroll will allow you to calculate your payroll weekly, bi-weekly, monthly, and more. Track your workers' compensation accurately and easily with user defined comp codes.

Dispatching

Powerful dispatch module lets your dispatchers take calls quickly, and easily dispatch your technicians. The graphical interface lets you track and control jobs with efficiency. Our Dispatch Board is event driven by a background server that refreshes information every 30 seconds so it is always current.

Inventory Module

Track parts, serial number management, warranty returns, EPA tracking and reporting, and easily search both truck and warehouse stock, all within the Inventory module.

Ease of Billing

Integrated with other Shafers modules as well as Mobile Office, billing by dispatch or direct billing is quick and easy. Choose between Time and Material, Contract or Flat Rate Billing and control exactly what information prints on your invoices. Your technicians can create and print invoices before leaving the job site using Mobile Office. With an on-board credit card scanner process payments wirelessly in the field.

Maintenance Agreements

The Shafers Maintenance Agreements feature eases the process of creating, maintaining and renewing your customer's maintenance agreements while helping to improve sales. Features include scheduling visits, posting calls to dispatch, creating renewal campaigns and sending renewal letters or promotional invoices, and the ability to process incremental billing. Escrow accounting is also facilitated as applicable.

Equipment Module

The Equipment module allows you to enter and track equipment by customer name, manufacturer, model or type and more. Each master equipment file stores and organizes all the details related to each piece of equipment, including warranty information and related maintenance agreements. Reporting options related to CFC usage and for general equipment summaries are also provided.

Job Cost Management

The Job Costing module is a complete labor and material cost tracking system. Includes estimating, invoicing and tracking all costs from start to finish with detailed reporting. Completely integrated with all other modules.
